What data we collect

We only collect personal data when you choose to share it with us — for example when you submit a demo request or enquiry form on this site. We do not require an account and we do not sell your data.

• Your name and work email address
• Your phone number and job role, if you choose to provide them
• Your organisation name and approximate number of units managed
• Where you are in your procurement journey and the topic of your enquiry
• Any additional information you include in your message

We do not collect special category data, and we ask that you do not send sensitive personal information through the enquiry forms.

How we use your data

We use the details you submit to:

• Respond to your enquiry and answer your questions
• Arrange and prepare a product demonstration for your organisation
• Follow up on your interest in Service Charges Hub, including sharing our leaflet and business case materials
• Keep internal records of enquiries so we can follow them up properly

We will only use your data for the purposes set out above unless we reasonably consider that we need to use it for another compatible reason, and we will tell you if we do.

Our legal basis for processing

We process personal data submitted through this site under UK GDPR on the basis of legitimate interests: you have asked about our service or requested a demonstration, and processing your details is necessary for us to respond and maintain a business relationship with your organisation. Where we send you marketing follow-ups by email, we will include an easy way to opt out in every message.

Who we share data with

We never sell your personal data. We share it only with trusted service providers who help us run this website and communicate with you — for example the services that deliver our email notifications and host our website. These providers process data on our behalf and only for the purposes described in this policy. We may also disclose data where we are legally required to do so.

How long we keep your data

We keep enquiry and demo request details only for as long as needed to handle your enquiry and any follow-up conversation, and for a reasonable period afterwards so we have a record of the business relationship. When the data is no longer needed, we delete it.
